Position Purpose:

Reporting to the Vice President of Philanthropic Advancement, the Office and Advancement Assistant supports the mission of Community Foundation Sonoma County (CFSC) serve as a key member of CFSC’s administrative team by supporting general office functions and bolstering the capacity of the Philanthropic Planning team’s work with donors, prospective donors, legacy gift donors, professional financial advisors and other stakeholders. In this role, the Office and Advancement Assistant is responsible for providing a broad range of general clerical administrative activities and projects to support.

 

Primary Duties and Responsibilities:
 

Advancement and General Office Administration

      • Prepare and send transactional communications related to donor gifts such as gift acknowledgement letters, tribute letters, payout letters and other mailings as needed.
      • Field prospective donor inquiries regarding new funds and planned gifts submitted online.
      • Support the Philanthropic Planning team with data entry into databases and information systems.
      • Provide scheduling support for the Vice President for Philanthropic Advancement and support the Philanthropic Planning Team in scheduling team meetings.
      • Process and route daily mail.
      • Manage and route the general email mailbox and voicemails.
      • Provide periodic reception services, including greeting PPT team’s visitors.
      • Act as a liaison for outside organizations, including scheduling CFSC conference room use and providing other administrative support.
      • File and organize physical and digital documentation.
      • Collaborate with the Finance and Operations Team to log and track gifts.
      • Support Communications team with mailing list management.
      • Order and track office supplies and kitchen necessities.
      • Provide administrative support for recurring and special projects.

Fundraising and Event Support

      • Coordinate CFSC events in partnership with the Philanthropic Planning Team and Communications Manager; secure venues and caterers, create materials and invitation lists, track RSVPs, and manage events.
      • Support year-end fundraising campaigns and mailings in collaboration with the Office of the CEO, Vice President for Philanthropic Advancement, and Communications Manager.
      • Prepare fundraising history reports and dashboards.

 

Supervisory Responsibilities:

Skills and Qualifications Required to be Successful in Role:

  • Strong organizational skills and attention to detail.
  • Ability to multi-task, problem-solve, and meet deadlines in a fast-paced environment
  • Ability to create and modify documents using Microsoft Word, Excel, PowerPoint, SmartSheet, and other software.
  • At least two years of related nonprofit or administrative experience (paid or unpaid).
  • Computer proficiency including strong Microsoft Office skills and an understanding of databases and project management tools.
  • Strong internal and external customer service ethic; personal warmth and sincerity.
  • A genuine and strong desire to provide high level support to a variety of donors, stakeholders and team members with a focus on responsiveness, quality and compassion.
  • Positive, professional, team-oriented attitude.
  • Excellent interpersonal skills and ability to work collaboratively and independently.
  • Excellent writing, communication, and listening skills.
  • Possesses professional integrity with the ability to work with highly confidential information.
  • Two years of post-high-school education or an equivalent combination of education and experience.
  • US work authorization (required).

 

Physical Requirements:

  • Must be able to remain in a stationary position during shift.
  • Ability to move items weighing up to 15 pounds.
  • Hand and wrist dexterity needed to work on a computer.
  • Visual acuity.

Compensation:

  • $27 – $30 an hour, plus benefits
